How can a standard disclaimer be added to all outgoing SMTP messages in a Domino environment? |

Solution |
In Domino release 6.x and earlier, there is no centralized and controlled way to do this with the native code.
Lotus Domino 7.0 now features support for message disclaimers. For information on message disclaimers, see the tip, "Using message disclaimers in Lotus Notes/Domino 7."
Available workarounds for release 6.x and ealier:
Workaround #1:
Use the "Signature" feature in the 5.x/6.x mail file by selecting Tools, Preferences; and selecting the Mail, Signature tabs.
Workaround #2:
Use a third-party tool, like MIMESWEEP (or another virus scan tool). Most of these tools have a feature to add a standard disclaimer to all routed mails.
Workaround #3:
Change the design of the Memo form in the MAIL.BOX file on the mail server(s).
Warning: In the event that a future IBM Support incident is opened, please be aware that making customizations to the standard Domino templates results in an unsupported configuration. The first step in a Support incident with a customer who has customized templates is to ask them to revert to the standard templates and attempt again to reproduce the problem.
This form can be changed in much the same way as the MTA FORMS database used by the R4 SMTP MTA. The file MAILBOX.NTF is used as the design template when Router creates the MAIL.BOX file. By changing the Memo form, the disclaimer text will be added to ALL messages when the router does CD-MIME conversion. It is important to note that in order for this to work, the end user's Location document must use Notes Rich Text Format.
To add text to the body of all outgoing SMTP mail, perform the following steps:
1. Open the MAIL.BOX template (MAILBOX.NTF) in Domino Designer. 2. Open the Memo form. 3. Find the Body field at the bottom of the form and highlight this field. 4. Copy and paste this field onto the next line. 5. Note that you now have an additional body field called Body_1. 6. It is suggested to change the name of this field to something appropriate, such as "Disclaimer", for example. Make sure the Disclaimer field is on a line of its own. 7. Click on the new field, and the default value will be selected. In the pane on the lower right, type in the text in quotes that you wish to go out with every SMTP email. 8. Click the green arrow button to enter the text. 9. Escape and save the form. 10. Replace the design of the MAIL.BOX(es) on the server with this modified template design.
Workaround #4:
The following describes how to achieve disclaimers on ONLY outbound SMTP mail messages in a total 5.x/6.x environment or a mixed R4 client/5.x or mixed R4 client/6.x environment. The following configuration has to be in place:
- Since the 5.x/6.x client can generate native MIME, by setting the "Format for messages addressed to internet addresses" field on the Mail tab in the Location document to "Notes Rich Text Format", this forces the mail message to be created in CD format.
IMPORTANT NOTE: Configuring a 5.x/6.x client to send CD to the Internet, rather than MIME, will result in reduced message fidelity and decreased messaging performance, as the SMTP servers now have to perform additional message conversions. The ability to add a disclaimer should be weighed against these points.
- If a Notes R4 client is being used, set the field "Format preference for incoming mail" to "Prefers Notes Rich Text" in the Person document.
- Since the 5.x/6.x SMTP server will convert the message from CD format to MIME format, modify the Memo form in the MAILBOX.NTF template, on the 5.x/6.x SMTP server only, to contain the disclaimer wanted to appear on outbound Internet mail.
In order for this workaround #4 to work, it is important that the message(s) arrive at the SMTP server (the server making the connection to the Internet) in a Notes CD record format. Therefore, it is necessary to modify only the 5.x/6.x SMTP server's Memo form in the MAILBOX.NTF template. This method provides the same level of disclaimer support as the R4 SMTP MTA, providing disclaimers only on outbound Internet mail.
Investigation on how to provide disclaimer capabilities in a native MIME environment has been reported to Lotus Quality Engineering.
Additional tips for Workaround #4:
- When refreshing the template on the MAIL.BOX, you need to give yourself Manager rights first.
- When entering the disclaimer text into the new Body field, be sure to add a few blank lines before you start the disclaimer. If you do not, there will be no space between the actual body of your message and the disclaimer text.

Note that when implementing S/MIME on the client, the disclaimer will not appear in the message. |
